Who is responsible for processing my personal data and any fellow travelers?
What is personal data?
Personal data is all data that can be traced back to you as an individual. For example, name, phone number, address, email, customer number, reservation history, and/or future reservations.
How do we obtain and process personal data?
We process the personal data of anyone who has had direct or indirect contact with leisuretime.com, including business customers and contacts of partners. If you visit our website, create a user account, input certain data, or have interacted with customer service, we process your personal data. If you have given consent to a party other than leisuretime.com, it is possible that they may transmit your data to leisuretime.com.
What data do we process from you, for what purposes, and how long do we retain them?
If you make a reservation through or with Leisure Time, we need your data to complete the reservation. Leisure Time, or one of the affiliated partners, is also obligated to maintain a comprehensive night register. The data we collect for this purpose include your (last) name, date of birth, email address, residential address, postal code, country, and mobile phone number.
These details are necessary to establish a valid agreement between you and Leisure Time or one of the affiliated partners. In compliance with legal requirements, we must retain your data related to your reservation for 7 years.
What data is stored in your Leisure Time account?
In your Leisure Time account, the following information is retained: your name, date of birth, place of residence, postal code, email address, and payment details. If you make a reservation through or with Leisure Time, we also store the names and birthdates of your fellow travelers. This data is retained for a minimum of 7 years.
In your account, you can also specify certain interests such as a wish list and language preferences. These interests and settings can be adjusted at any time through your account.
Data about contact with our customer service
If you reach out to our customer service, we may use your phone number and/or email to recognize you, enabling our staff to assist you more effectively with any inquiries. Important information about you may be stored in your account to help us assist you faster and better on subsequent occasions. We retain notes about you as long as you are an active user of our platform.
Telephone conversations with our customer service may be recorded for training and analysis purposes. These recordings are not kept for longer than 1 month.
Data for an optimal search experience
At Leisure Time, we want to help you find what you're looking for. To do this optimally, we collect your IP address, information about your device and software, your language settings, and other device settings when you visit Leisure Time.
We aim to tailor the displayed offerings as closely as possible to your personal preferences. To achieve this, we collect your search and click behavior. Our goal is to assist you in searching and booking, making it a pleasant experience for you to find your ideal vacation.
If you are logged into the leisuretime.com website, your name and any photo may appear on the site. This is visible only to you as a visitor. In this case, Leisure Time can personalize the website and provide targeted recommendations for you. You can indicate your interests and preferences in your Leisure Time account, specifying any favorite accommodations and/or regions. We adjust the search results based on your preferences, and you can always modify your preferences yourself.
Data for marketing
Through Leisure Time, we'd like to keep you informed about new providers, locations, and opportunities that we want to share with you. We do this through email or our app, if you've made a reservation or have an account with us. We may send you push notifications or emails with suggestions, information, and services based on your reservations and/or interests. If you do not wish to receive this information anymore, you can indicate this in your account.
We use technology that provides us with insights into whether you read our messages and which links and messages you click on. We do this to analyze the extent to which our messages are read and appreciated or not. With your permission, we can use this information to personalize and optimize our communication to you. You can always revoke this consent through your account.
Data for reviews
To provide other visitors and/or rental owners with a good understanding of accommodations, regions, etc., we ask renters to write a review. This review can cover the accommodation, the surroundings, etc.
If you write a review on the Leisure Time website, you can choose to display your name and/or profile with the review or post the review anonymously.
Data to prevent fraud
To investigate and/or trace unauthorized access and fraud, we use personal data (including IP addresses and search, browse, and reservation behavior). If there has been proven fraud, we retain certain data related to this fraud for a maximum period of 2 years from the moment the fraud is discovered.
Who do we share your data with?
Leisure Time Partners: When you make a reservation for an accommodation through or with Leisure Time, the Leisure Time partner receives your data. Our partners require this information for accurate record-keeping, including towards official entities such as municipalities, tax authorities, and government. Additionally, you need to be reachable in case of emergencies during your stay, which is why we also provide the mobile phone number you have provided.
If there are legal obligations to share data imposed by authorities, Leisure Time only provides the information strictly necessary for these entities.
Where do we store your data?
We store your data within the European Economic Area ("EEA"). However, certain data we collect may be transferred to or stored at a destination outside the EEA, for instance, if one of our external service providers is located there. In such cases, we ensure that this is done in a secure and lawful manner. In these instances, Leisuretime.com will take appropriate measures to ensure that your data is as well protected as possible, such as agreeing with the recipients on standard data protection clauses set by the European Commission.
How do we secure your data?
Leisuretime.com will do everything within its power to protect your data. We have specialists in place who continuously monitor our data and work on securing the systems. Your data is only visible to employees who require this insight. Leisure Time does not sell data to third parties. We only share data with external parties when strictly necessary. For example, if you purchase something through our shop and we need to deliver a purchased product via an external party to the address you provided.
Social media: Through social channels, it is possible to follow Leisure Time and/or share Leisure Time's offerings and articles on your own social media channels. Leisure Time does not have access to your personal social media accounts. Please refer to the respective social media platforms to review their privacy policies so you understand how your data is used by these platforms.
With all other external service providers, we enter into agreements specifying what they are allowed to do with the data. We make agreements with various service providers, including but not limited to:
Provision of digital services, such as hosting, support, and maintenance of our website and applications;
